Terms and Conditions of Business
1. Services Provided
- The Client agrees to engage the Contractor (also referred to herein as ‘Gatehouse’ and Gatehouse Security Limited’ and ‘The Company’) to provide the Client with Services and/or Goods.
- The Services will also include any other tasks which the Parties may agree on. The Contractor agrees to provide such Services and/or Goods to The Client.
- Gatehouse will use all reasonable endeavours to perform Services and/or provide Goods within agreed timescales but will not be held liable or responsible for unforeseen events or circumstances (including Force Majeure events) outside of our reasonable control. The Company will use all reasonable endeavours to overcome any delays of this nature.
2. Insurance
- Gatehouse Security Limited shall hold the appropriate Public Liability, Professional Insurances and Accreditations, copies of which can be made available to the Client upon request.
3. Quoted Works
- The first site survey will provide a no obligation free quote. Consultancy Fees will apply for additional site visits pre-acceptance of a quote. This fee will be deducted from the final invoice if the quote is accepted.
- Quotes are strictly valid for 30 days, if accepted outside of this timescale, the quote will be updated to reflect any price changes. Written confirmation is required to accept a quote.
- Groundworks will be estimated due to the nature of works and the condition of the ground. Additional costs may be incurred due to unforeseen circumstances.
- A 50% deposit will be charged on order.
- Additional fees will be charged if Gatehouse Security has to return to site to complete quoted works due to third parties
4. Fees and Payment
- Gatehouse will charge the client in GBP for the Services/Installation/Goods quoted and the Client agrees to pay Gatehouse Security Limited. Invoice payment terms should be adhered to.
- Payment is due on completion of works or once gates, motors, intercoms installed.
- The Client agrees to pay for any additional goods and/or services not quoted and required to complete the Service/ Installation. We reserve the right to charge for additional time to complete an investigation, unforeseen subsurface conditions, soil, drains etc. Change of specification. Connection to existing equipment/ services.
- A Client cannot withhold payment or make deductions for any reason.
5. Ownership of Property
- Gatehouse Security Limited use and install products sourced by the Company from reputable suppliers.
- Retention of Title. Gatehouse Security will retain title (ownership) of any goods until full payment has been received.
6. Termination of Agreement
- The Client has the right to cancel the Service, Project and/or Goods up to 7 days before works start. The Client will be liable for any parts ordered and re-stocking fees of 15%. Deposit will be refunded less any cost of the above goods. The Client will be invoiced if the deposit does not cover the parts.
- The Client has the right to cancel the Service, Project and/or Goods at any time up to completion of the project. The Client will be liable for works already completed and any uninstalled parts ordered, re-stocking fees of between 15% and labour costs including loss of profit.
- Gatehouse Security Limited reserves the right to terminate a Project prior to works starting by giving reasonable notice. The Client deposit will be refunded. If the Client varies the works beyond the quoted works, and Gatehouse Security cannot fulfil the request due to compliance, the Client will be charged for parts installed and works completed to date.
7. Warranty on Parts Supplied and Installation
- Warranty will activate on receipt of payment.
- The Client must contact Gatehouse Security immediately with any issues.
- Items purchased through Gatehouse Security Limited and installed by The Company will be covered under Warranty for 12 months from date of installation. Warranty will cover any defect in the mechanical goods or workmanship under normal use.
- Warranty does not cover parts which are not part of the initial installation, parts which are damaged by extreme weather conditions, wood movement, rodent or animal damage, natural forces, damage from incorrect use, vandalism, vehicle damage or theft.
- Existing structures, for example brick piers, posts, second-hand parts or parts purchased by the Client are not covered by Warranty.
- Parts which have been adjusted, tampered with or damaged are not covered under Warranty.
- Remote controls are not covered under Warranty, unless faulty within one month of supply.
- User error will not be covered under Warranty
8. Call Out
- The Client should contact Gatehouse Security with information on any fault whether in the Warranty period or not.
- The call out fee is for Gatehouse Security to attend site, investigate and diagnose a fault which includes engineer time, expertise, fuel and insurances.
- Call out fee information will be communicated to the Client on receipt of a call out request. The call out fee covers the initial fee and a fee for additional time on site if required.
- A call out will be booked on receipt of Client acceptance of fees, Client acceptance is agreement to pay the fee. If a fault is diagnosed and repaired, this is covered in the total call out fee and additional time (excluding any parts supplied). If we are unable to repair a fault, a quote will be issued for repairs.
- Gatehouse Security will book the call out with The Client, and they must be present at the time of the visit unless otherwise agreed. A fee will be charged if our engineer can not gain access to the premises or if the visit is cancelled within 24 hours.
- Any parts supplied to repair the fault will be chargeable if not covered under an existing Warranty.
- Call out fees are payable on receipt of the Call out Confirmation
9. PPM – Periodic Preventative Maintenance
- We recommend gates are serviced annually to keep them in good working order and compliant. The Client should have this completed 12 months after the installation and annually thereafter. Gatehouse Security will aim to send a reminder via email and/ or SMS annually or at the agreed service interval.
- Current PPM fees will be communicated to the Client
- Gatehouse Security will book the PPM on a suitable date and time. The Client must be present unless prior agreement has been made.
- Gatehouse Security reserves the right to charge a fee for cancellation less than 24 hours before the visit. This will be 50% of the PPM fee.
- Gates which require fault investigation during a maintenance inspection will incur costs equivalent to additional engineer time on site. Any parts installed will be chargeable.
- PPM is not covered under the normal Warranty terms.
10. Use and Disclosure of Information
- Gatehouse Security Limited are committed to protecting the privacy of our clients and keeping personal data safe
- Once contact has been initiated between parties, we will continue to send you information about our services and how to keep your gate and electrical installations safe and in optimal condition. - Our Privacy Policy was last updated October 2024. You can view a copy of this policy on our website at www.gatehousesecurity.co.uk or otherwise by requesting a written copy through the channels listed above.
- We will publish pictures of completed works to promote our business. Any published images will not show property location or customer names.
11. Law and Jurisdiction
- Any dispute or claim arising out of or in connection with these terms and conditions shall be governed by English law and be subject to the jurisdiction of the courts of England and Wales.
12. Our Employees
- Our engineers and office team work hard to keep our customers happy, and we welcome feedback.
- We will not accept any abuse from customers on site or over the phone. So please remember to be nice!
